Marketing Administrative Assistant

Position Description
Music for All is seeking qualified candidates for our Marketing Administrative Assistant position. The Marketing Administrative Assistant works under the direction of the Director of Marketing and is an important part of the Music for All team. Primary duties include but are not limited to
  • Provide administrative support to the Director of Marketing in a fast paced environment
  • Working with vendors on external projects i.e. mass printing, mailings and program books
  • Maintenance of marketing data and preparing data for mailings
  • Proofreading of publication drafts and marketing department documents
  • Support departments with graphic designs in InDesign, Photoshop and Illustrator
  • Coordinate mailings with mailing houses
  • Track and order inventory for marketing related materials i.e. letterhead, business cards, credentials
Every candidate for a position at Music for All must understand and acknowledge that a substantial portion of the organization's business is the planning and execution of special events. As such, all Music for All employees may be involved in the planning of events and have some on-site event production duties and responsibilities. Some travel, night and weekend work is required.

Position Requirements
Music for All is seeking an enthusiastic, team oriented individual who encompasses the below skills:
  • Bachelor's degree in Public Relations, Journalism, Communications, Graphic Design or Marketing (preferred)
  • One year experience in a similar role
  • Ability to communicate effectively through many mediums including mail, publications, phone and face to face
  • Proficiency in computer applications such as Excel, Word, Indesign, Photoshop and Illustrator
  • Desire to work with various departments in a collaborative environment
  • Experienced in working independently with little supervision
  • Demonstrated leadership, prioritization, organization, interpersonal skills as well as strong attention to detail
  • Strong work ethic, willingness to embrace our organization and an interest in supporting the arts community

Promotions Manager

Position Description
Music for All is seeking qualified candidates for our Promotions Manager position. The Promotions Manager works under the direction of the Director of Development and is an important part of the Music for All team. Primary duties include but are not limited to
  • Develop and execute a promotion plan to position MFA for expanded private support
  • Interface with all media personnel and outlets
  • Develop relationships with news media
  • Cultivate existing relationships with media
  • Create and distribute written copy
  • Promote our programs and re-engage Alumni
  • Position MFA as a national not for profit leading in music education, performance and advocacy
This position is funded through a one-year grant. Employment after one-year will be contingent upon funding.

Internships at Music for All

Internships: General Criteria

Dates: Ongoing (Year round)

Length: Minimum of ten weeks to one year maximum

Compensation: Depending on experience and education level, up to $900 per month plus actual expenses for days working off-site at events. Each intern will travel to and be involved in the production of at least one Music for All event.

Level of Position will report to a director level or more senior Music for All official. Periodic evaluations will be made.

Hours of Work: Music for All works on a 8:30 a.m. to 5:00 p.m. regular work day. Because we are a producer of "special events," employees and interns work on a flexible basis, with substantially more time being worked during and immediately prior to events. Part-day (minimum four hours/day) assignments can also be arranged.

Educational Interns must have completed a minimum of one year of undergraduate collegiate work.

Requirements: No specific major is required, but experience and/or course work in music, band, recreation, hotel management, business, or education is helpful.

Selection: Summer internships are in highest demand. We receive over 60 resumes for four positions annually. Internships are more readily available during the school year. We like for interns to work for a minimum of 60 days. The program adjusts to your school calendar and Music for All will do all that is possible and necessary to assist in efforts to secure academic credit for your experience.


Internship Positions Include:

Event Coordination Intern
Position available year-round. Various assignments in the special event production area including the fall marching season, spring Music for All National Festivals, and Summer Symposium. Assignments will focus on operational tasks (facility/equipment/supply issues and arrangements), event on-site operation (scheduling and correspondence/procedure & flow operations) and resource and procedure documentation (manual and procedure development/documentation).

Marketing & Public Relations Intern
Position available year-round. Assist with compiling media contact information, creating and distributing media kits, writing and submitting calendar listings and press releases, compiling event news clippings, and general media relations. Assist with advertising sales, ad contracts, ad artwork, invoicing advertisers, and light desktop publishing including advertisements and event program books.

Development/Sponsorship Intern
Position available year-round. Responsible for assisting with sponsorship proposals and research, direct mail, grant writing, and membership organization duties. Interns should possess writing and editing skills and be interested in non-profit fund-raising.

Website/Technology Intern
Position available year-round. Emphasis on special projects involving the development and refinement of Music for All databases of schools, participants, donors and boosters, and overall website enhancement. Interns will be responsible for and assist in coordination of mass e-mailings and mailings and have some data input responsibilities. Interns will gain experience using the Macintosh operating system.

Band Relations Intern
Position available year-round. Assist Director with correspondence and management of band and ensemble participation in year-round events. Interns must have excellent organizational and verbal skills and be proficient in Word and Excel. Interns will gain experience in logistical aspects of event production.

Copyright Intern
Position available year-round. Responsibilities include developing/updating copyright holder information on marching band repertoire; communicating with band directors/arrangers concerning rights holders and permissions to arrange; research on copyright law and interpretation; developing a library of copyright law and clearance resources. Use of Internet and other resources in assisting directors/arrangers in determining rights holders and obtaining clearances.

Volunteer Management Intern
Position available year-round. Responsible for the development of a volunteer pool available for coordination of Music for All events (on national and local event level). Focus on creation/maintenance of volunteer operational plans and care and feeding of volunteers. Develop new and creative sources for volunteers.

Marketing & Merchandise Intern
Position available year-round. Assist in ticketing and ordering and managing souvenirs and inventory. Assist with souvenirs by determining quantities, obtaining competitive price quotes, submitting purchase orders, following up on delivery dates, and inventory materials as they arrive. Includes souvenir shirts, small souvenir items, event trophies and awards, including patches and certificates. Will experience on-site management of souvenir stands and post-event inventory.
